Purchases & Stocktaking

Acquire consumables and manage stock levels

The following section will guide you on how to add purchases and capture stock levels.

Purchases and stock taking can be used by multiple modules. If you need more info regarding how to use these functions visit the Chemical & Fertiliser or Asset Management module pages.

Navigate to Management / Costing.

Purchases

Click on the first tab "Purchases". You will be presented with a table consisting of all items purchased in the last two weeks. Change the date range filter to view older items.

Add a Purchase

Navigate to Management / Costing and click on the "Purchases" tab.

  1. Click on the "+ Add" button to record a purchase

  2. Select the type of item that was purchased

    1. Chemicals / Fertilisers - Select the product in the following field.

    2. Produce / Variants - Select the cultivar in the following field. This is used when purchasing trees/plants to cultivate a new area.

    3. Consumable Assets - Select the consumable asset in the following field.

    4. Fuel - Diesel and Petrol

  3. Supplier reference - A note from where this product was purchased from.

  4. Invoice / Delivery Note Number

  5. Delivery Date - The stock will increase on this date and time

Provide details of one or more products in the following fields

  1. Store Room - Link this spe

  2. Stock code - This is your own stock reference, usually for accounting purposes.

  3. Product unit - The unit of weight or volume per individual item.

  4. Quantity - The number of individual items purchased

  5. Total amount - The total value of item bought

  6. Click on "Add More Products" to add another product to this invoice or delivery note

  7. Click on Save once all products have been added

The cost of purchases will only be applied from the date and time of delivery. If you want to back date costs, add the purchases on a past date before it was consumed.

Stocktaking

Keep track of actual stock levels on your farm.

Navigate to Management / Costing and click on the "Stocktaking" tab. You will be presented with a table consisting of all stock items in the last two weeks. Change the date range filter to view older items.

Add a Stocktake

Click on the "+ Add" button.

  1. Select the type of item for this stocktake record

    1. Select the corresponding item in the following field

  2. Provide the total product left

    1. The total provided here must be the calculated amount i.e. 3000 plastic bags and not 3 boxes of 1000 bags

  3. Provide a note for the change in stock

  4. Select the date and time when this stocktake was completed

    1. This must be as accurate as possible because if items are checked out before or after the date the stocktake it may result in missing items

  5. Click on Save
