Configuration

Before you start

Make sure you have the following configuration in place before starting with the fuel module.

Employees

Users and employees can capture fuel issues on the device. The employees that will be responsible for capturing fuel issues at the pump must be configured with the role "Fuel Supervisor". For more information on user and employee roles please visit:

Assets

Each asset that will be receiving fuel must be configured as a "Fixed Asset". Visit the following section with instructions on how to configure your assets:

Setup

If you have the correct employees and assets configure you can start configuring your fuel module. Navigate to Management / Fuel to get started.

Fuel Activities

Each time you fill up a tank you can specify the specific activity that was used for the fuel. This will assist you in filtering only for eligible activities when preparing your SARS Rebate Logbooks and also allocating your costs.

Navigate to the "Activities" tab and click on "+ Add" to create a new activity.

  1. Provide the name of the activity

  2. Provide an optional description

  3. Specify if this activity is eligible for the SARS Rebate

    • If the activity is eligible for SARS rebate you will have the option to allocate the fuel to a production block

  4. Click on "Save"

Fuel Assets

By creating a fuel asset you specify which fixed assets are eligible for receiving fuel and also what role do they play in the process of issuing fuel.

Navigate to the the "Fuel Asset" tab and click on "+ Add" to create a new fuel asset.

  1. Select the preconfigured fixed fuel asset

  2. Select the Asset Type

    • Fuel Pump: Stationary fuel pump and storage tank that can issue fuel to any vehicle, equipment (asset) or bowser

    • Fuel Bowser: Mobile fuel pump that is used to transfer fuel and issue it to an asset

    • Asset: Any vehicle or equipment that receives fuel

  3. If Fuel Pump or Fuel Bowser is selected, indicate if the pump has a meter reading

    • The meter reading assists in indicating missing litres from your tanks

  4. If Asset is selected:

    1. Provide the reading type for the specific equipment or vehicle

      1. Kilometers

      2. Hours

      3. None - If the hour meter or odometer is broken no reading will be required

    2. Select the default activity - This activity will be preselected on the device but it can still be changed when issuing fuel

    3. Max hour/km reading - Maximum hour or kilometer reading between two tanks. This value is used to indicate errors on the report.

    4. Max tank to tank consumption - For hour readings, the maximum hours per liter before indicating a problem on the report. For kilometer readings, the minimum kilometer per liter before indication a problem on the report.

    5. Fuel tank capacity - If the amount of fuel issued exceeds this number it will be indicated on the report

  5. Service interval - Both of these values can be provided and the report will indicate whichever option is applicable

    1. KM or Hour service interval - Specify the hours or kilometers between services

    2. Monthly service interval - Specify the months between services
